Terms of Business

1. Introduction

These Terms of Business apply to all drone services provided by Aeris Aerial. By booking any service with us—whether verbally, by email, or through our website—you agree to these terms. They are designed to be clear, fair and easy to understand.

2. What We Provide

We offer:

  • Aerial photography & video

  • Events & wedding coverage

  • Roof inspections & surveys

  • FPV drone cinematics

All services are delivered in accordance with UK Civil Aviation Authority (CAA) rules and safe operating practices. We always aim to deliver high‑quality content and a smooth customer experience.

3. Quotations & Booking

  • All quotes are provided in writing and remain valid for 30 days.

  • Quotes include: scope of work, travel, editing expectations, and deliverables.

  • Quotes exclude any third‑party charges such as special permissions, landowner consent fees, or paid flight authorisations unless stated.

  • Your booking is confirmed when you accept our quote and make payment (see Section 4).

4. Payment Terms

  • Full payment is required before the flight date, unless otherwise agreed in writing.

  • Commercial clients with an approved account may pay within 15 days of invoice.

  • Late payments may be subject to interest at 8% above Bank of England base rate.

  • We may pause work if payments are overdue.

5. Safety, Permissions & Compliance

  • All operations follow CAA regulations and local laws.

  • Some locations require flight permissions, which can take up to 28 days.

  • We will obtain required permissions unless responsibility is agreed otherwise.

  • Flights may be restricted due to: no‑fly zones, safety concerns, weather, public activity, or site conditions.

6. Weather, Site Access & Operational Limits

  • We may delay or reschedule flights if winds, rain, visibility, RF interference or environment make flight unsafe.

  • You must ensure safe access to the site and notify us of hazards or restrictions.

  • If we arrive and cannot work due to undisclosed site issues, the full fee may still apply.

  • FPV flights require a controlled indoor or outdoor pathway without public footfall.

  • Roof inspections may be limited by obstructions, overhanging trees, or unsafe proximity requirements.

7. Drone Safety Rules

All clients and participants must follow our Drone Safety Rules, including standing in the designated safe zones, listening to pilot instructions, and following emergency words such as “MOVE MOVE MOVE” or “BIRDS”.

8. Deliverables & Editing

  • Photos: delivered as JPEG, PNG (or RAW on request).

  • Videos: delivered in 4K MP4 or MOV.

  • FPV clips: stabilised where possible, but fast movement and environment may limit smoothness.

  • Editing time estimations are guidelines—additional work may require extra hours.

  • Once final files are approved, further changes may incur charges.

9. Data Storage

  • Project data is stored for 30 days after delivery.

  • After 30 days, files may be deleted unless you arrange extended storage.

  • Additional storage or physical media transfer is available for a fee.

10. Intellectual Property

  • Aeris Aerial retains copyright to all footage and images created.

  • Upon full payment, you receive a non‑exclusive licence to use the final deliverables for the purpose agreed.

  • Raw footage is not supplied unless agreed in writing.

  • Third‑party usage requires our consent unless creating materials on your behalf.

11. Cancellations & Rescheduling

  • Client cancellations within 5 working days of the flight date incur a full fee.

  • Weather‑related cancellations (by us) will be rescheduled at no extra cost.

  • If rescheduling is impossible due to weather or technical issues, you will be refunded for the flight portion only.

  • Work already completed (survey planning, permissions, travel) remains billable.

12. Liability Limitations

  • We are not liable for delays caused by weather, airspace restrictions, ATC/CAA instructions, or force majeure events.

  • We are not responsible for indirect losses such as lost revenue or missed opportunities.

  • Our liability will never exceed the total price paid for the service.

13. Governing Law

These terms are governed by English law, with disputes handled by the courts of England and Wales.
